When I took over purchasing in 2020, I wasn't ready for how much of my week would disappear into parts ordering. I'm the office administrator for a mid-sized logistics company, and I manage all vehicle maintenance and facility parts ordering—roughly $80,000 a year across about 30 vendors. I report to both operations and finance, so I get a close-up view of every line item.
This checklist is for people in that exact spot. If you're responsible for ordering vehicle maintenance parts—or air filters for the office, or both—this will save you the mess I made over my first couple of years.
It took me 3 years and about 150 orders to understand that the cheapest quote is rarely the cheapest invoice. Here's the seven-step process I use now, plus the mistakes I'd rather you avoid.
Step 1: Centralize the specs before you search for anything
Before you even open a parts store website, you need the full spec of every vehicle and HVAC unit you order for. Year, make, model, engine code, VIN, filter size, and anything else that narrows it down. I keep one spreadsheet; it took an afternoon to set up and saves me about an hour per week.
This sounds obvious, but it's the first thing that breaks when one person orders a part and another person coordinates the install. In 2022, the warehouse manager gave me a vehicle list and said "just order the oil filters." The old spreadsheet had two vans that looked identical but had different engines. Good times.
Step 2: Cross-reference brands with OEM part numbers
For anything safety-critical, I cross-reference the aftermarket brand against the OEM part number. Take wheel bearings: the fleet uses Schaeffler wheel bearings on the vans, and Schaeffler products show up in original equipment across a bunch of European nameplates. But you can't just buy "a Schaeffler bearing." The bearing has to match the vehicle's hub spec, ABS ring configuration, and axle type.
The practical move: look up the OEM part number and make sure the aftermarket equivalent lists that exact number in its fitment data. If it doesn't, that's a red flag, no matter how trusted the brand is.
Step 3: Ask what's NOT included before you compare prices
This one I learned the hard way. A supplier quoted us a decent price on an alternator for a 2008 Honda Accord—or so I thought. The quoted price didn't include the mounting bolts or the connector adapter. The part was fine, but the "and also you need these" fees added 22% to the total.
Now my standard question is: "What's NOT included in this price?" That single question separates vendors who list everything upfront from the ones who expect to make their margin on add-ons. A quote that looks higher at first, but includes all the hardware and shipping, usually ends up costing less. To be fair, some vendors just assume you know the extras aren't included. But it's on them to be clear.
Per FTC guidelines (ftc.gov), claims about a product have to be truthful and not misleading. That applies to advertising, not necessarily to every informal quote—which is exactly why you should ask.
Step 4: Verify fitment with a second source
Even when a parts store tells you it'll fit, I verify. Once. It took one too many "yeah, it's the right one" calls to trust the first filter result.
Specific example: a 2008 Honda Accord alternator. Same year, same model—but the 2.4L four-cylinder uses a different alternator than the 3.5L V6. If you rely only on "it fits a 2008 Accord," you'll get the V6 part and spend an hour trying to make it work. Or worse, pay a restocking fee.
So glad I started double-checking with a second source. Almost ordered 10 of the wrong cabin air filters once—was one click away from a return process that would have killed my afternoon.
Step 5: Follow the replacement interval instead of guessing
If you're wondering how often to replace cabin air filter, you'll get different answers depending on who you ask. The general rule is every 12,000 to 15,000 miles, or once a year. But that's the "normal conditions" number. If your vehicles idle a lot, run on dusty roads, or sit in city traffic, you're on the shorter side of that range.
Your best move: check the vehicle's maintenance schedule in the owner's manual. The manual might say 15,000 miles, and a service advisor might suggest earlier. I trust the manual first, then factor in our actual driving conditions.
Set a calendar reminder—I've found that relying on "we'll check it next service" doesn't work. Cabin air filters are cheap; the complaint from a driver with a dusty, musty cabin is not.
Step 6: Batch the consumable orders
Consumables—air filters, oil filters, belts—are where you can save real time. For our facility, we order a specific 16x24 air filter for two air handling units. It's not a standard retail size, and the first time we ordered it, we ordered one. One, because I didn't think ahead. The freight cost was more than the filter.
Now I keep a minimum quantity for every repeatable item. For the 16x24 filters, that's a six-month supply. For cabin air filters, it's what the fleet needs for the next maintenance cycle. Batching doesn't just cut shipping—it cuts the number of vendor invoices our accounting team has to process.
Step 7: Track actual total costs, not just unit price
The last step is record-keeping. You don't need fancy procurement software; a spreadsheet with columns for quoted price, shipping, tax, and "surprise fees" does most of the work.
When a vendor quotes shipping, I sanity-check it. If the part fits in a USPS flat-rate box (usps.com), shipping should be within a reasonable range—not doubled to pad the margin.
In 2023, I reviewed that data and found the vendor with the lowest unit prices had the highest total costs once shipping and add-ons were included. Switching our filter orders to a vendor with transparent pricing saved us about $600 over a year, counting my time.
Part of me wants to consolidate to one vendor for simplicity. Another part knows that redundancy saved us during the supply chain mess in 2022. I compromise: one primary vendor per category, plus a backup I check prices with quarterly.
Common mistakes to avoid
- Assuming "same size" means same part. Filter sizes like 16x24 can have different depths and frame types. Check the old part when you can.
- Relying on a single fitment confirmation. One phone call isn't verification. The second source needs to agree.
- Ignoring shipping costs on small orders. The $4 filter with $18 shipping isn't a win.
- Not checking the return policy. Even with verification, mistakes happen. Make sure returns are possible before you need it.
This process isn't exciting, but it works. It's the difference between ordering parts in twenty minutes versus spending two hours on the phone. I won't pretend I never order the wrong part—last month I ordered the wrong belt for a van. But these steps catch the expensive mistakes before they happen.
