I coordinate emergency rush orders for automotive metal parts. When a customer says 'ASAP,' they usually mean yesterday. This checklist is for buyers, engineers, and plant managers who need a stamped, forged, extruded, or CNC-machined part in days, not weeks. It applies to a Schaeffler transmission component, a Super 40 muffler hanger bracket, an auxiliary fuel tank pump housing, or any custom metal part that has to ship before the line stops.
This is not for simple consumer fixes. If you need to know how to replace batteries in Honeywell thermostat, a 30-second search will get you there. Calling us for that is like calling a machine shop to change a light bulb.
Who This Checklist Is For
You are using this checklist if you have a real deadline and no room for a 10-week lead time. In my role triaging these orders, I have the same three concerns every time:
- How many hours are actually left?
- Can this part be made in that window?
- What is the worst thing that could happen if we miss it?
If you cannot name the penalty for missing the deadline, you are not ready to place a rush order. You are just hoping.
The 7-Step Rush Order Checklist
Step 1: Calculate the Real Deadline and the Cost of Failure
Start with two numbers: hours left and penalty for missing. In March 2024, a client called at 4:30 PM needing a stamped bracket for a Super 40 muffler. Normal turnaround was 10 working days. Their assembly line was down the next morning. We found a local laser-cutting shop with 3 mm steel in stock, paid $180 in rush fees on top of the $640 base cost, and delivered by 6 AM. Missing that deadline would have meant a $12,000 line stoppage. That math made the decision simple.
Checkpoint: write down the exact deadline and the dollar figure attached to missing it. If the answer is 'I don't know,' the order is not a true emergency.
Step 2: Verify the Part Number and Revision Before Calling Anyone
This step gets skipped when people panic. 'They'll know what I mean' is an expensive assumption. I have mixed up part numbers more than once—8822 versus 8832, or rather, 8823 versus 8832. The 30 seconds I saved by not checking cost me a full day in one case.
For a Schaeffler transmission part, use official resources first. The Schaeffler homepage has part lookup tools and datasheets. Write down the exact part number, revision letter, material grade, and required certifications. If you already have a drawing, check the revision block. Do not assume the revision you have is the one the production floor actually uses.

Step 3: Decide Whether the Part Is Standard or Custom
There is a difference between a standard catalog part and a custom stamped or machined component. A standard bearing might be available from a distributor tomorrow. A custom bracket with a unique hole pattern needs a shop with tooling and capacity. Trying to force a custom part through a standard parts supplier will only burn time.
This is where multi-process suppliers have an advantage. If a design originally calls for forging but the geometry can be machined from plate in 24 hours, you need a supplier who can make that call with you. I have seen rush orders fail because a buyer locked into one process and refused to consider a faster alternative.
Checkpoint: have a print or a clear specification, and confirm whether this is an off-the-shelf item or a custom job.
Step 4: Send a Complete RFQ, But Also Pick Up the Phone
A complete RFQ includes dimensions, tolerances, finish, quantity, and deadline. Incomplete RFQs cause more delay than holiday backlogs. When I compared our Q1 and Q2 results side by side—same vendors, different levels of RFQ detail—I realized that missing specs added two or three days to almost every project.
One example: a customer discovered that their auxiliary fuel tank pump housing had the wrong hole spacing. The original batch was useless. We had 41 hours to redo it. The RFQ that worked included a 3D model, a PDF drawing, material grade, and a call confirming the tolerances. The call mattered because the first drawing had two different radius values. A quick phone call resolved it in 90 seconds. Email would have taken 30 minutes and a second revision.
Checkpoint: send everything in writing, then call to make sure a human saw it.
Step 5: Parallelize Material Sourcing and Quoting
Do not wait for the quote to start looking for raw material. Ask the supplier what stock they have. If they do not have the material, ask them what they can get in the time window. A part is not a part until there is metal to cut or form.
In a rush order, the bottleneck is usually not the machine. It is the material. We once saved a project by finding 15 feet of 6061 aluminum in a local supplier's warehouse while the machining quote was still being calculated. The actual CNC run took four hours. Waiting for a quote before buying material would have blown the deadline.
Checkpoint: know where the raw material is coming from and when it will be at the shop.
Step 6: Lock Down Certificates and PPAP Documents Before Shipment
This is the step most people ignore. I only believed in material test certificates after skipping that step once and eating a $3,500 nonconformance. The part looked fine. The paper was missing.
Automotive-tier customers will reject a shipment without the required documentation. According to the AIAG PPAP manual, a production part approval process level 3 typically requires a material test report, dimensional layout, and process capability evidence. Under IATF 16949, suppliers must maintain these records and make them available. If you are sourcing a Schaeffler transmission component, do not accept 'we can send it later.' Later means another week.
If the part will be used in a safety-related system, ask for the Supplier Declaration of Conformity as well. It is better to wait one extra hour for paperwork than to have a truck arrive at a dock and be turned away.

Step 7: Plan the Physical Shipment, Not Just Production
A rush part sitting on a shop floor because no one booked a truck is a classic failure. I have seen it happen. The part was ready at 4 PM, but the only courier available could not pick up until 8 AM the next day. The deadline was missed by 16 hours.
Ask the supplier about packing dimensions, weight, and liftgate requirements. For an auxiliary fuel tank pump housing or a muffler bracket, next-day air might be enough. For a heavy forging, you need a freight truck with a liftgate and a receiver who can unload it.
Checkpoint: when will the part be physically on the truck, not finished?
Mistakes That Will Still Cost You
Even with a checklist, there are common traps:
- Choosing the cheapest rush option. In an emergency, the lowest quote is rarely the fastest or the safest.
- Forgetting to mention surface finish or plating. A part can be dimensionally correct and still fail corrosion testing.
- Sending the wrong revision. Check the revision letter twice.
- Ignoring tolerances. If you do not specify, a shop will default to something loose—often ISO 2768-m—and that can be too loose for a part that sits next to a spinning gear.
- Using this checklist for a 2-minute job. Again, if you are wondering how to replace batteries in Honeywell thermostat, look that up. Rush metal parts are our business; thermostat batteries are not.
Switching from email chains to a shared RFQ template cut our own turnaround from five days to two days. That is the efficiency advantage that makes rush orders less painful for everyone. But the biggest gain comes from doing the boring steps first.
When I see a successful emergency parts order, it is almost never because of heroics in the last hour. It is because someone verified the part number, specified the material, sent a complete RFQ, and picked up the phone. Do that, and the panic shrinks to a manageable size.
